Marriage Files

The Marriage Files module (/marriage-files) allows parish staff and clergy to manage couples preparing for the Sacrament of Holy Matrimony, from initial inquiry through the wedding liturgy and recording in the sacramental register.


Accessing Marriage Files

  • In the top navigation, click Sacraments (or Files) and select Marriage Files.
  • The main directory displays all active, completed, and archived marriage cases with couple names, wedding dates, presiders, and checklist completion percentages.

Creating a New Marriage File

  1. Navigate to Marriage Files and click + New Marriage File (or visit /marriage-files/create).
  2. Enter the initial intake information:
    • Bride & Groom Names: First and last names.
    • Contact Details: Email addresses, phone numbers, and home addresses.
    • Tentative Wedding Date & Time: Set the requested ceremony date and location (Main Church, Chapel, etc.).
    • Liturgy Type: Mass or Ceremony outside of Mass.
    • Language: English, Spanish, Bilingual, etc.
  3. Click Create Marriage File.

Managing the Marriage File

Click on any couple from the index to open their dedicated file (/marriage-files/{id}).

1. Couple & Case Details

  • Update bride and groom personal information, dates of birth, and parishioner status.
  • Assign the Celebrant (Priest or Deacon) and Concelebrants.
  • Schedule the Wedding Rehearsal date and time.

2. Requirements & Canonical Checklist

The file tracks all necessary documentation required by Canon Law and your diocese:

  • Baptismal Certificates with recent notations (issued within 6 months).
  • Prenuptial Questionnaire (Form A) and Witness Affidavits (Form B).
  • Pre-Cana / Marriage Preparation Retreat certificate.
  • FOCCUS / Prepare-Enrich Inventory completion.
  • Civil Marriage License verification.
  • Canonical Dispensations / Permissions (e.g., Disparity of Cult, Mixed Religion, Canonical Form).

3. Financial Ledger & Payments

  • Manage parish fees (Church donation, priest stipend, cantor, organist, sound technician).
  • Log incoming deposits and final balance payments.
  • Print an itemized Wedding Financial Statement or receipt for the couple.

4. Liturgy & Readings Planning

  • Plan the liturgical readings (First Reading, Responsorial Psalm, Second Reading, Gospel).
  • Record musical selections, unity candle / lasso / arras traditions, and bridal party details.

5. Notes & @Mentions

  • Maintain a running chronological history of communications, meetings, and pastoral observations.
  • Tag staff members (e.g., @FatherJohn Check the dispensation status with the Chancery) to send instant in-app alerts.

Customizing Marriage Requirements

Parish Administrators can configure default requirement templates:

  1. Navigate to Settings > Marriage Requirements (/settings/marriage-requirements).
  2. Add, reorder, or remove standard checklist items that will automatically apply to all newly created marriage files.
